Overview:

The HRMS Portal is a Human Resource Management System designed to help organisations manage their employees, payroll, attendance, and other HR activities from a single platform. Before you can use the HRMS Portal, your organisation must be registered on the platform. This registration process sets up your organisation's account and creates a Super Admin who will have full administrative access.

This guide walks you through every step of the Organisation Registration process, from creating an account to completing your organisation's profile.

Prerequisites:

Before you begin, make sure you have the following ready:

        A valid business email address (this will be used as the Super Admin email).

        Your organisation's name, website, and contact phone number.

        Access to the email inbox to receive and enter the OTP verification code.

        A strong password for the Super Admin account.

Organisation Registration Steps:

The registration process consists of the following steps:

        Step 1: Access the Registration Page

        Step 2: Enter Organisation Information

        Step 3: OTP Verification

        Step 4: Set Up Super Admin Account

        Step 5: Enter Organisation Detail Information (Optional)

Step 1: Access the Registration Page

To register your organisation on the HRMS Portal, you must first navigate to the login page and initiate the account creation process.

1.     Open your web browser and navigate to the HRMS Portal URL.

2.     You will be presented with the Login screen showing the HRMS logo, Email, and Password fields.

3.     Click the "Create an account" link located at the bottom of the login form.

📜 Note:  If you already have an account and wish to log in, enter your registered Email and Password and click the Login button instead.

Step 2: Enter Organisation Information

After clicking "Create an account", you will be redirected to the Organisation Information form. This step captures the basic details of your organisation.

2.1. Filling in the Form

1.     Enter your Organisation Name in the first field. This is the official name of your company or business.

2.     Enter the Super Admin Email — the primary email address that will be used to manage the HRMS account. This email will also receive the OTP verification code.

3.     Optionally, enter your Website Link (e.g., https://yourcompany.com).

4.     Enter the Organisation Phone Number. Select the country code from the dropdown (e.g., +92 for Pakistan) and then enter the phone number.

2.3. Saving the Form

1.     Once all required fields are filled in, click the Save button located at the bottom-right of the form.

2.     If any required field is left empty, the system will highlight it in red with the message "This field is required." Ensure all required fields are completed before proceeding.

💡 Tip:  Required fields are marked with an asterisk (*). Make sure to fill all required fields before clicking Save.

Step 3: OTP Verification

After saving the Organisation Information, the system will send a 6-digit One-Time Password (OTP) to the Super Admin email address you provided. You must verify this email address before proceeding.

3.1. Entering the OTP

1.     Open your email inbox for the Super Admin email address you provided in the previous step.

2.     Locate the email with the subject "Verify Email Address" from the HRMS Portal.

3.     Note the 6-digit verification code in the email body. The code expires in 60 minutes.

4.     Return to the HRMS Portal. On the OTP Verification screen, enter each digit of the code in the individual input boxes.

5.     Click the Verify OTP button to confirm your email address.

⚠️ Important:  The OTP code expires in 60 minutes. If you did not receive the code or it has expired, click the "Resend" link on the OTP Verification screen to request a new code.

Step 4: Set Up Super Admin Account

After successful email verification, you will be taken to the Super Admin Account setup screen. This step creates the profile and credentials for the primary administrator of your HRMS account.

4.1. Entering Admin Details

1.     Enter the First Name of the Super Admin in the first field.

2.     Optionally, enter the Middle Name.

3.     Enter the Last Name of the Super Admin.

4.2. Creating a Password

1.     Enter a strong password in the Password field.

2.     As you type, the system will validate your password in real time against the following requirements:

        At least 8 characters

        Contains an uppercase letter

        Contains a lowercase letter

        Contains a number

        Contains a special character

3.     Re-enter the same password in the Confirm Password field. The system will display "Password is match" in green when both passwords match.

⚠️ Important:  All password validation criteria must be met (shown in green) before you can proceed. Choose a strong, unique password and keep it in a safe place.

4.3. Saving the Super Admin Account

1.     Once the name fields are filled and all password requirements are satisfied, click the Save button.

Step 5: Organisation Detail Information (Optional)

The final step of the registration process collects additional details about your organisation. This step is optional and can be skipped you can always complete it later from your account settings.

5.1. Filling in Organisation Details

1.     Select the Business Field from the dropdown (e.g., Technology, Healthcare, Finance, etc.).

2.     Enter the Number of Employees in your organisation.

3.     Enter your Business Address.

4.     Select the Country from the dropdown list.

5.     Select the State / Province based on the selected country.

5.3. Saving or Skipping

You have two options at this step:

        Save — Click the Save button after filling in the details to complete the registration process.

        Skip — Click the Skip button to bypass this step and complete it later from your account settings.

💡 Tip:  We recommend completing the Organisation Detail Information during registration, so your account is fully configured from the start. This information helps HRMS personalise the platform for your organisation.

Registration Summary:

Upon successful completion of all steps, your organisation will be registered, and your Super Admin account will be active. Below is a summary of the entire registration flow:

Troubleshooting:

I did not receive the OTP email.

        Check your spam or junk email folder.

        Ensure the Super Admin email address was entered correctly in Step 2.

        Click the Resend link on the OTP Verification screen to request a new code.

        If the issue persists, contact your system administrator.

The OTP code is not being accepted.

        Make sure you are entering the most recently received OTP (earlier codes are invalidated).

        OTP codes expire after 60 minutes. Request a new one if needed.

        Ensure you are entering the digits in the correct order.

My password is not meeting the requirements.

        Ensure the password is at least 8 characters long.

        Include at least one uppercase letter (e.g., A-Z).

        Include at least one lowercase letter (e.g., a-z).

        Include at least one number (e.g., 0-9).

        Include at least one special character (e.g., @, #, $, %).
