Overview:

The Dashboard is the central landing page of the HRMS Portal. It provides HR administrators and authorised users with an at-a-glance view of key workforce metrics, quick navigation shortcuts, policy documents, announcements, and a real-time asset tracker. Upon successful login, the Dashboard is the first screen displayed.

The Dashboard is organised into the following key areas:

       Summary Cards — High-level metrics covering Total Employees, Employees on Leaves, Total Assets, and Retention Rate.

       Quick Actions — Shortcut buttons to the most frequently used HRMS workflows.

       Policy Documents — A panel listing recently added or pinned organisational policy documents.

       Announcements — A panel displaying active company-wide announcements.

       Asset Tracker — A summary panel showing the current distribution of assets across assigned, available, and maintenance categories.

📜 Note: The Dashboard is read-only. Data displayed on the Dashboard is automatically calculated from records across the HRMS Portal modules. No data can be entered directly from the Dashboard.

Prerequisites:

No additional configuration is required to access the Dashboard. The following conditions apply:

       The user must have valid HRMS Portal login credentials.

       The user must be assigned a system role with at least read access to the Dashboard.

       Dashboard data is dynamically populated from other modules. Accurate metrics require that employee, asset, leave, and policy records are maintained in their respective modules.

Section 1: Accessing the Dashboard

The Dashboard is accessible immediately upon login. If you have navigated away from the Dashboard, you can return to it at any time by clicking Dashboard in the left sidebar navigation menu.

       Log in to the HRMS Portal using your credentials.

       The Dashboard loads automatically as the default landing page.

       To return to the Dashboard from any other module, click Dashboard at the top of the left sidebar.

Section 2: Dashboard Layout

2.1. Greeting Header

At the top of the main content area, the Dashboard displays a personalised greeting and the current date. The greeting changes dynamically based on the time of day (Good Morning, Good Afternoon, or Good Evening) and is addressed to the logged-in user's portal name.

Greeting Message

Time-sensitive greeting personalised to the logged-in user (e.g., Good Evening, HRMS).

Current Date

Displays the current date in DD Month YYYY format, updated automatically each day.

2.2. Summary Cards

Four summary cards are displayed below the greeting header. Each card provides a real-time metric pulled from the corresponding module within the HRMS Portal.

📜 Note: Summary card values update in real time as records are added, modified, or removed in the relevant modules. If a card shows unexpected values, verify the underlying module data for accuracy.

2.3. Quick Actions

The Quick Actions panel provides one-click shortcuts to the most commonly used HRMS workflows. Clicking any Quick Action button navigates directly to the relevant module or initiates the corresponding process.

Description

New Employee

Navigates directly to the Add New Employee form in the Employees List sub-module, allowing HR to onboard a new employee without navigating through the sidebar.

Request Leave

Opens the Leave Request workflow, enabling HR to submit a leave request on behalf of an employee.

Assign Asset

Opens the asset assignment workflow in the Assets module to assign an available asset to an employee.

Run Payroll

Navigates to the Payroll module to initiate or review a payroll run for the current period.

Disciplinary Cases

Navigates to the Disciplinary Cases module to view or create disciplinary case records.

💡 Tip:  Quick Actions are role sensitive. Buttons may be hidden or disabled based on the permissions of the logged-in user's role. If a Quick Action button is not visible, ensure the relevant module permissions are configured in the Roles & Permissions module.

2.4. Policy Documents Panel

The Policy Documents panel displays a list of recently added or pinned organisational policy documents. Documents are listed with their name and a view icon. Up to five documents are shown by default, with a View All Policies link at the bottom of the panel to access the complete policy document library.

Document Icon

A document icon displayed to the left of each policy name for visual identification.

Document Name

The name of the policy document as configured in the system (e.g., Health Care Policy, Confidentiality Contract — Puerto Rico).

Eye Icon

Click the Eye icon to the right of any document name to view the full policy document content.

View All Policies

A link at the bottom of the panel. Click to navigate to the complete list of all policy documents available in the system.

📜 Note:  Policy documents are managed in the dedicated Policy Documents module. To add, edit, or remove policy documents, navigate to that module via the left sidebar. Changes made there are reflected on the Dashboard in real time.

2.5. Announcements Panel

The Announcements panel displays active company-wide announcements visible to all users or to specific roles, depending on how each announcement is configured. When no active announcements exist, the panel displays a "No active announcements" message.

Active Announcements

Announcements are listed with their title and relevant details. The most recently published announcements appear at the top.

No Active Announcements

When the panel displays this message, there are no announcements currently scheduled or published for the logged-in user's role or the organisation.

📜 Note:  Announcements are created and managed in the Announcements module accessible from the left sidebar. Only announcements with an Active status and a valid publication date are displayed on the Dashboard.

2.6. Asset Tracker Panel

The Asset Tracker panel at the bottom of the Dashboard provides a real-time summary of the organisation's total asset inventory and its distribution across three status categories. A donut chart on the right side of the panel visualises the proportion of assigned assets as a percentage.

Total Assets

The total number of asset records registered in the Assets module, displayed as a headline figure.

Assigned Assets

The number of assets currently assigned to an employee. Displayed with a purple icon.

Available Assets

The number of assets that are available and not currently assigned to any employee. Displayed with a green icon.

Maintenance

The number of assets currently flagged as under maintenance. Displayed with an orange icon.

Donut Chart

A circular progress chart on the right side of the panel, showing the percentage of total assets that are currently assigned (e.g., 99.12% Assigned). The chart updates dynamically as asset statuses change.

💡 Tip:  Use the Asset Tracker panel to quickly assess asset utilisation at a glance. If Available Assets are low or Maintenance assets are high, navigate to the Assets module to review asset statuses and take the necessary action.

Section 3: Left Sidebar Navigation

The left sidebar is persistent across all pages of the HRMS Portal and provides navigation to all available modules. The currently active module is highlighted in purple. The sidebar is accessible from any page and collapses or expands sub-menus with a chevron indicator.

Returns the user to the main Dashboard landing page from any location within the portal.

Organization Chart

Navigates to the Organisation Chart module. Expandable with a chevron (›) indicating sub-items.

Announcements

Navigates to the Announcements module for creating and managing company-wide announcements.

Branches

Navigates to the Branches module for managing office locations and branch details.

Employees

Expandable module containing sub-items: Employees List, Employee Exit, and Exit Reason.

Core HR

Expandable module. Contains Core HR sub-modules such as Departments, Designations, and Grades.

Payroll

Expandable module for managing payroll runs, payslips, and compensation records.

Leave Request

Expandable module for managing employee leave requests and leave policies.

Disciplinary Cases

Expandable module for creating and tracking employee disciplinary case records.

Resignation

Expandable module for managing employee resignation submissions and workflows.

Assets

Expandable module for registering, assigning, and tracking organisational assets.

Reports

Expandable module providing access to HR reports and data exports.

📜 Note: Sidebar items are visible only if the logged-in user's role has at least read access to the corresponding module. Modules not accessible to the user's role will not appear in the sidebar.

Section 4: Top Navigation Bar

The top navigation bar runs across the full width of the portal and provides the following controls:

Portal Name / Logo

The AgencyVA portal name and logo are displayed in the top left of the sidebar. Clicking the logo returns the user to the Dashboard.

Light / Dark Mode Toggle

A sun icon in the top bar allows users to toggle between light mode and dark mode display preferences.

Notifications Bell

A bell icon provides access to in-portal notifications. A dot indicator appears on the bell when new unread notifications are present.

User Avatar

A circular avatar displaying the user's initials in the top right corner. Clicking the avatar provides access to profile settings and the logout option.

The complete policy document library is opened.

Check Announcements: Review the Announcements panel on the Dashboard.

Active announcements are listed. If the panel shows "No active announcements", no announcements are currently published.

Review Asset Tracker: View the Asset Tracker panel showing Total Assets, Assigned, Available, and Maintenance counts with the donut chart.

Real-time asset distribution is visible. Navigate to the Assets module for detailed management.

Navigate via Sidebar: Click any sidebar item to go to the corresponding module.

The selected module opens. Active module is highlighted in purple in the sidebar.
