Overview:

The Grades page allows administrators to define salary bands and hierarchical levels used across the organisation. Grades serve as the link between designations and salary ranges — each grade defines a minimum and maximum salary in a specific currency, ensuring pay consistency across similar roles.

📜 Note:  Only users with Super Admin or HR Manager roles can access the Core HR module. If you cannot see the Core HR menu in the sidebar, contact your system administrator to verify your role and permissions.

Prerequisites:

Setup requirement: The required currency must be available and configured in the system before adding grades.

Configuration Guide:

Accessing Grades:

·         Log in to the HR360Hub portal with your administrator credentials.

·         On the left-hand sidebar, locate and click Core HR to expand its sub-menu.

·         Click Grades to open the Grades list.

Adding a New Grade:

·         Click the + Add Grade button at the top-right of the page.

·         The Add New Grade dialog will open.

Description

Grade Title

Yes

A unique label for this grade (e.g. HR Tier I, HR Tier II, Grade 6, Senior Band A). Maximum 50 characters.

Grade Level

Yes

A numeric level indicating the grade's position in the hierarchy (e.g. 1 = Entry Level, higher = more senior).

Currency

Yes

The currency in which the salary band is defined (e.g. PKR, USD, EUR).

Min Salary

No

The minimum salary amount for this grade in the selected currency.

Max Salary

No

The maximum salary amount for this grade in the selected currency.

Click Save (orange button) to create the grade or cancel to close without saving.

⚠️ Important:  Grade Titles must be unique. Ensure Min Salary is always less than or equal to Max Salary — an inverted salary band may cause calculation errors in payroll reports.

Viewing a Grade:

Click the eye icon (👁) on any grade row to open the View Grade dialog.

The dialog shows the Grade Title, Grade Level, Currency, Min Salary, and Max Salary. Click Close to dismiss.

Editing a Grade:

·         Click the pencil icon (✏️) on any grade row to open the Edit Grade dialog.

·         Update the required fields and click Update (orange button) to save the changes or cancel to discard.

📜 Note:  Changes to a grade's salary band or currency take effect for future payroll calculations. Employee salary records already processed will not be retroactively affected.

The Grades sub-module establishes the salary banding structure that underpins compensation management in HR360Hub. By defining clear grade levels with minimum and maximum salary ranges, the organisation ensures pay equity and provides a structured framework for career progression.

·         Purpose: Define hierarchical salary bands (Grade Title, Level, Currency, Min/Max Salary) for use across designations and employee records.

·         Hierarchy: Grade Level numerically represents seniority — lower numbers indicate entry-level, higher numbers more senior roles.

·         Currency Scoping: Each grade is tied to a specific currency, supporting multi-country payroll structures.

·         Salary Integrity: Min Salary must always be less than or equal to Max Salary — inverted bands can cause payroll calculation errors.

·         Retroactive Impact: Changes to a grade's salary band affect future payroll calculations only; previously processed records are not altered.

💡 Tip:  Design your grade structure in alignment with your compensation policy before configuring designations or positions. Validate min/max salary values carefully — errors in grade bands can propagate into payroll reports.
