Overview:
The Policies page allows administrators to upload, manage, and distribute organisational policy documents to employees. Each policy is associated with a country and optionally a department. Policies are uploaded as file attachments and can be previewed directly in the portal. Once published, policies can be synced to the HR360Hub Employee Portal.
📜 Note: Only users with Super Admin or HR Manager roles can access the Core HR module. If you cannot see the Core HR menu in the sidebar, contact your system administrator to verify your role and permissions.
Prerequisites:
Setup requirement: None — policies can be configured at any time.
Configuration Guide:
Accessing Policies:
· Log in to the HR360Hub portal with your administrator credentials.
· On the left-hand sidebar, locate and click Core HR to expand its sub-menu.
· Click Policies to open the Policies list.
Policies List:
- Navigate to Core HR → Policies to view all configured policies.
Column | Description |
Policy Name | The name of the policy document as entered during creation. |
Country | The country this policy applies to. |
Department | The department this policy is scoped to. A dash (—) indicates the policy applies to all departments. |
Status | Current status of the policy: Active (green badge) or Draft. |
Actions | Eye icon (👁) to view details. Pencil icon (✏️) to edit. Delete icon (🗑) to remove. Robot icon (🤖) to sync to the Employee Portal (Active policies only). |
💡 Tip: Use the Search icon (🔍) to quickly locate a policy by name. The Refresh icon reloads the list to reflect any recent additions or status changes.
Adding a New Policy:
· Click the + Add Policy button at the top-right of the page.
· The Add New Policy form will open.
Field | Required | Description |
Policy Name | Yes | A descriptive name for the policy document (e.g. Health Insurance Proposal, Annual Evaluation Methodology). |
Country | Yes | The country this policy applies to. |
Department | No | The department this policy is scoped to. Defaults to All departments within the selected country. |
Status | Yes | Set to Draft by default. Change to Active to publish the policy for syncing to the Employee Portal. |
Upload Policy File | Yes | The policy document file to attach (typically PDF). Click Choose File to browse and select the file. |
Description | No | Optional rich-text description providing context, a summary, or instructions related to the policy. |
· Click Save Policy (orange button, bottom-right) to create the policy or cancel to close without saving.
Viewing a Policy:
· Click the eye icon (👁) on any policy row to open the policy detail page.
· The page is divided into panels:
Panel | Description |
Policy Overview | Displays the policy status badge, associated country, effective date, policy description (if provided), and the Policy Author's name and email address. |
Live Preview | Renders a live preview of the attached policy document directly within the portal. If the document cannot be rendered, it can be downloaded instead. |
Attachment Details | Shows the uploaded file name, file size, and format. Includes a Download Policy Document button (orange) to download the attached file directly. |
📜 Note: If the Live Preview panel displays a "This content is blocked" message, this is a browser security restriction and does not affect the policy file itself. Use the Download Policy Document button to access the document.
Editing a Policy:
· Click the pencil icon (✏️) on any policy row to open the Edit Policy form.
All fields from the Add New Policy form are available for editing. A View Current Document link is displayed below the file upload field, allowing you to review the currently attached policy file before replacing it.
Update the required fields and click Update Policy (orange button) to save the changes, or Cancel to discard.
📜 Note: Changing the Status from Draft to Active makes it eligible for syncing to the Employee Portal. Use the robot icon (🤖) in the Policies list to sync. Policies already synced will display a "Synced to Hub" indicator on their detail page.
Summary:
The Policies sub-module provides a centralised repository for organisational policy documents within HR360Hub. It allows HR administrators to upload, manage, and distribute policy files to employees through the Employee Portal.
· Purpose: Upload and manage policy documents (PDF), scoped by country and optionally by department, for distribution to employees.
· Status Workflow: Policies start as Draft and must be set to Active before they can be synced to the Employee Portal.
· Employee Portal Sync: Active policies can be pushed to the HR360Hub Employee Portal using the robot icon (🤖), making them visible to employees.
· Scoping: Policies can be scoped to a specific department or made available to all departments within a country.
· Document Preview: Policies can be previewed directly in the portal; if blocked by the browser, documents can be downloaded via the Attachment Details panel.
💡 Tip: Keep policy documents current by reviewing and updating them at least annually or whenever regulatory changes occur. Set outdated policies to Inactive rather than deleting them to preserve an audit trail of previous policy versions.
